Privacy Notice

At the CfDS Network, we are committed to protecting and respecting your privacy.

This notice explains what personal data we collect and store, the purposes for which we use it, the lawful bases for processing, where data may be transferred, how long we retain your data, and your rights in relation to that data.

This privacy notice is written in the context of the UK General Data Protection Regulation (UK GDPR) and the Privacy and Electronic Communications Regulations (PECR), effective from 25 May 2018.

We do not store credit or debit card details. We only share financial details with third parties for the sole purpose of processing authorised payments.

We may update this privacy notice from time to time. Where changes are significant, we will notify you accordingly.

  

Who are we?

We are the CfDS Network, an organisation registered within the British Astronomical Association, dedicated to fostering collaboration, advancing research, and promoting education and community engagement in data science and related disciplines.


The BAA is a registered charity (no. 210769) and company limited by guarantee (no. 117572).

The CfDS Network chairperson (or equivalent role) is responsible for data protection matters within the organisation.

  

The purposes of processing

We collect basic personal information in order to administer memberships, registrations, events, communications, and any services or resources we provide.

The personal data we may collect includes: your name, address, email address, telephone number, IP address, date of birth (where relevant) and other non-identifying information. We do not intentionally collect special category (sensitive) personal data.

Your personal data may be used for the following purposes:

  • To administer your membership or affiliation with the CfDS Network
  • To provide services, resources, or publications
  • To administer event registrations, subscriptions, or purchases
  • To communicate important information relating to your involvement with the      CfDS Network
  • To provide secure access to our website and online services (e.g. via IP      address logging)

When you join or engage with the CfDS Network, you may be subscribed to newsletters or updates relating to our activities, publications, and events. You may unsubscribe from these communications at any time. Optional mailing lists or interest groups may also be available, and participation in these is entirely voluntary.

  

Lawful bases for processing

We process personal data under the following lawful bases:

  • Contract: where you have entered into an agreement with us (e.g. membership, event registration, or purchase of services);
  • Legal obligation: where we are required to retain certain records under      applicable UK law.
  • Consent: where you have explicitly opted in to receive non-essential electronic communications.

Please note that even where consent has not been given for optional communications, we may still contact you were necessary to deliver services or fulfil contractual obligations.

  

Transfers of personal data

We do not sell or share personal data with third parties for purposes outside those stated in this notice.

We may share limited and relevant subsets of personal data with GDPR-compliant third-party service providers, solely to enable us to operate our services. These may include:

  • Membership or customer relationship management system providers
  • Mailing list and communication service providers
  • Event management or electronic voting platforms
  • Payment processing providers

All such providers are required to process data securely and in accordance with data protection legislation.

  

Retention period

Personal data is retained only for as long as necessary for the purposes for which it was collected.

We will generally hold your personal data while you are an active member, participant, or subscriber. After this, data may be retained for archiving, legal, or statistical purposes.

You may request deletion of your personal data at any time, subject to any legal obligations requiring us to retain certain basic records for a defined period.

  

Your rights

Under data protection law, you have the right to: Access your personal data, request correction of inaccurate or incomplete data, withdraw consent for optional communications at any time and request erasure of your personal data, where applicable

Personal data will normally be provided electronically unless otherwise requested.
